Vietnam Travel Frequently Asked Questions

Practical answers from a Hanoi-based tour operator about planning, private tours, visas, payments, hotels, cruises, transport and travelling safely in Southeast Asia.

Advice for planning—not a substitute for official rules. Visa, health, weather and supplier conditions can change. Your written quotation and booking confirmation govern your trip; always verify immigration and health requirements with the relevant authority.

Planning Your Trip 4 questions

For normal travel periods, booking 6–12 weeks ahead gives a good choice of guides, hotels and domestic transport. For Christmas, New Year, Lunar New Year, Easter and July–August, we recommend 3–6 months. Premium Ha Long Bay cabins, specialist guides and connecting rooms can sell out earlier.

Allow about 7–10 days for one region, 12–15 days for a balanced north-to-south journey, and 18–21 days for a slower trip with beach time. We avoid building itineraries around daily flights or long transfers unless the traveller specifically prefers a faster pace.

Yes. We arrange private multi-country journeys across Vietnam, Cambodia, Laos and Thailand, including regional flights, border logistics, guides and hotels. Entry rules and flight schedules are checked for the traveller's passport and travel dates before confirmation.

Bring lightweight breathable clothing, comfortable walking shoes, sun protection, insect repellent, a reusable water bottle and a light rain layer. Pack modest clothing that covers shoulders and knees for temples. Northern highlands can be cold in winter, while trekking routes may require shoes with reliable grip.

Booking & Confirmation 4 questions

Send an enquiry through the website or contact our travel team with your dates, party size, room preferences and interests. We confirm availability, provide an itemised proposal and payment schedule, and issue written confirmation after the required deposit is received.

A quotation or provisional hold is not a confirmed booking. Your booking is confirmed only when we have received the required payment and sent a written confirmation showing the booked services. Flights, cruises and promotional hotel rates may have short hold deadlines.

We normally need each traveller's full passport name, nationality, date of birth and passport details when required for flights, cruises, permits or hotel registration. We also request arrival details, dietary needs, mobility information and an emergency contact. Send sensitive information only through the channel provided by our consultant.

Yes. Before arrival we provide the final itinerary, confirmed service details, emergency contacts and any vouchers that suppliers require. Many hotels and tours accept electronic vouchers; we will identify any service that requires a printed document.

Private Tours & Itineraries 4 questions

Most tailor-made tours are private for your own party, with a private vehicle and local guide where specified. Cruises, scheduled activities, trains and some transfers may be shared. Every proposal should state clearly which services are private and which are shared.

Yes. We adjust route, pace, hotel category, activities, meals and transport around your dates and interests. Tell us what is essential, what you prefer to avoid and your approximate budget. We will also flag routes that look practical on a map but involve excessive driving or unreliable connections.

Reasonable changes are possible when operations and availability allow. Additional costs can apply for new tickets, vehicles, guide hours or supplier cancellation fees. Safety-related changes caused by weather, road conditions or authorities may be made by the local operations team.

Private itineraries can include as much independent time as you want. We normally balance guided sightseeing with time to rest, explore, shop or enjoy the hotel. Your final itinerary distinguishes guided services from free time.

Prices & Payments 5 questions

Inclusions vary by itinerary. A confirmed proposal normally lists accommodation, specified meals, guides, vehicles, entrance fees, cruises and domestic transport where included. International flights, visas, travel insurance, personal spending, optional activities and tips are excluded unless expressly stated.

Tour prices are normally quoted per person based on the stated number of travellers and room arrangement. Single-room supplements, child prices and private vehicle costs are shown separately where relevant. The final quotation identifies currency, validity period and assumptions.

Most tours and cruises require a 30% deposit, with the balance normally due 30 days before departure. Custom private tours may require 50%, and bookings made within 30 days usually require full payment. Flights, non-refundable hotels and holiday departures can require different terms, which will be disclosed before payment.

We accept the methods shown on our Payment Methods page, including supported cards and bank transfer. Quotations state the payment currency. Bank, card, exchange and intermediary fees may be charged by the payment provider and are shown or explained where applicable.

Tipping is appreciated in Vietnam but is generally discretionary unless a proposal says otherwise. The appropriate amount depends on service quality, group size and trip length. Your consultant can provide current destination guidance; tips should never be demanded.

Changes, Cancellations & Refunds 4 questions

Contact us as soon as possible. We will request the change from each supplier, but availability, fare differences and amendment fees may apply. Airline tickets and certain cruise or hotel rates may be non-changeable or require cancellation and rebooking.

Cancellation must be submitted in writing. The refund depends on the notice period and non-recoverable supplier costs. Air tickets, permits, holiday deposits and non-refundable rates can follow stricter conditions. Review the Cancellation & Refund Policy and the terms stated in your confirmation.

Approved refunds are normally processed within 7–14 business days after the refundable amount is confirmed. Your bank or card provider may take additional time to post the funds. Refunds are normally returned through the original payment method, less any disclosed non-recoverable costs or banking fees.

Safety comes first. We may reroute, postpone or replace affected services when weather, natural disasters, government restrictions or other events outside our control make the original plan unsafe or impossible. We seek supplier refunds or credits, but unavoidable third-party costs may remain non-refundable. Travel insurance is strongly recommended.

Visa & Entry Requirements 3 questions

Visa requirements depend on nationality, passport type, length of stay and entry point, and can change without notice. Check the official Vietnamese immigration or e-visa website and the relevant embassy before travel. We can provide supporting itinerary information, but only immigration authorities decide admission.

As a practical minimum, travel with a passport valid for at least six months beyond your arrival date and with enough blank pages. Your airline or destination may impose additional rules. The name on every ticket and booking must match the passport.

We can provide general guidance and, where offered, assist with an application or supporting documents. We cannot guarantee approval, processing time or entry at the border. Travellers remain responsible for passports, visas, transit permissions and compliance with immigration rules.

Hotels, Cruises & Transport 5 questions

Your proposal names the hotel, room category and meal basis wherever confirmed. Local star ratings can differ from those in your home country, so we also consider location, maintenance, service record and verified guest feedback. If a named hotel becomes unavailable, we seek a comparable alternative and obtain approval where time permits.

Most overnight Ha Long Bay bookings are on a shared vessel with a private cabin; meals and scheduled activities are shared. Private charter boats are available for suitable group sizes and budgets. Route changes can be ordered by the port authority because of weather and are outside the operator's control.

We assign licensed, air-conditioned vehicles appropriate to group size and road conditions. Seat belts are used where fitted. Vehicle size is based on passenger count plus luggage, so tell us in advance about large suitcases, wheelchairs, child seats or specialist equipment.

Only when listed in the confirmed inclusions. Flight schedules and fares can change until ticketed. Vietnamese sleeper trains offer a local experience but comfort, noise and facilities differ from hotels; private cabins depend on availability.

Yes, when the transfer is booked with us and we have the correct flight number. We monitor published arrival information and adjust normal pickup timing. Please contact the emergency number if the airline changes your flight number, arrival airport or date, or if you miss a connection.

Guides, Meals & Experiences 3 questions

English-speaking local guides are widely available. Other languages may be arranged with advance notice and can carry a supplement. On multi-region trips, local guides may change by destination because they provide stronger regional knowledge and comply with local guiding arrangements.

We pass dietary requests to hotels, restaurants, cruise operators and guides and recommend suitable meals where possible. Please provide precise details before confirmation, especially for severe allergies. Kitchens may handle common allergens and cannot always guarantee a completely separate preparation area.

No undisclosed commission shopping should be compulsory on a private itinerary. Some visits to markets, workshops or social enterprises are genuine cultural experiences and will be described in the programme. Tell your guide if you do not wish to shop.

Families & Accessibility 3 questions

Yes. We can reduce driving, add rest time, select family rooms and choose age-appropriate activities. Child pricing depends on age, bed use, flight rules and supplier policy. Parents remain responsible for supervision, and some adventure activities have minimum age or height requirements.

Child seats are not universally stocked in Vietnam, but we will request one when advised of the child's age, height and weight in advance. Availability and vehicle compatibility must be confirmed in writing; families may prefer to bring a familiar approved seat.

Often yes, with careful planning. Tell us about walking tolerance, stairs, wheelchair dimensions and assistance needed before booking. Many heritage sites, boats, older hotels and rural locations are not step-free. We will explain known limitations and propose realistic alternatives, but cannot describe a tour as accessible without checking each component.

Health, Safety & Emergencies 4 questions

Comprehensive travel insurance is strongly recommended and may be mandatory for adventure activities. It should cover overseas medical treatment, evacuation, trip cancellation, delays, baggage and the activities you intend to do. Carry the insurer's emergency number and policy details.

Consult a qualified travel-health professional well before departure because recommendations depend on your health, itinerary and season. Bring prescription medicine in original packaging with supporting documentation, and check whether any medicine is restricted in the countries visited.

Your final documents include operational and emergency contact details. For an immediate threat, contact local emergency services first, then our local team and your insurer. Guides can help coordinate clinics, transport and itinerary changes, but medical decisions must be made by qualified professionals.

We recommend sealed bottled water or properly filtered drinking water rather than untreated tap water. Use sensible food hygiene, stay hydrated and take extra care during hot-weather activities. Tell the guide immediately if you feel unwell.

Responsible Travel 2 questions

We favour locally based guides and suppliers, smaller-group or private experiences, respectful cultural visits and reduced single-use plastic where practical. We do not support activities that exploit people or involve harmful wildlife contact. Travellers should follow site rules, ask before photographing people and avoid buying wildlife products.

Dress modestly at temples, remove shoes where requested, speak calmly and ask permission before photographing people. Avoid touching someone's head or pointing your feet toward sacred objects. Your guide will explain local customs that vary between communities and countries.
